Authorized Use
Clients represent that they possess all necessary legal authority, authorizations, subpoenas, court orders, or other permissions required to request records.
HIPAA & Protected Health Information
MedRecAps may receive, process, transmit, and store Protected Health Information (PHI) while providing services.
Clients remain responsible for obtaining legally sufficient authorizations and complying with applicable privacy laws.
Client Responsibilities

Fees & Payment
Clients are responsible for applicable retrieval fees, custodian charges, certification costs, delivery fees, taxes, and rush processing fees.
No Guarantee of Retrieval
We cannot guarantee record availability, provider cooperation, specific turnaround times, or uninterrupted system availability.
Electronic Communications
Clients consent to receive invoices, notifications, records, and legal notices electronically where permitted by law.
Website & Portal Use
- No unauthorized access attempts
- No malicious software uploads
- No disruption of services
- No unlawful use of the platform
Intellectual Property
All website content, software, branding, logos, graphics, and proprietary workflows remain the property of MedRecAps or its licensors.
Third-Party Providers
We may rely on cloud providers, couriers, software vendors, and subcontractors in delivering services.
Disclaimer of Warranties
